This Privacy Policy describes how Workflow Autopilot ("we," "us," or "our") collects, uses, shares, and protects information when you visit workflowautopilot.com, request our roadmaps or other resources, schedule a call with us, or otherwise interact with our services.

By using our website or providing your information through any of our forms, you agree to the practices described in this policy.

Information we collect

We collect information you provide directly to us. This includes:

  • Contact information. Your name, email address, phone number, and the type of business you operate, when you submit a form on our site (including roadmap requests, audit bookings, or contact forms).
  • Communication content. What you tell us during phone calls, text messages, emails, video meetings, or scheduled audits.
  • Business context. Information about your business operations, the tools you use, and the problems you are trying to solve.
  • Consent records. Timestamps, IP address, and form contents at the time you provided consent to be contacted, retained for compliance with the Telephone Consumer Protection Act (TCPA), CAN-SPAM Act, and other applicable laws.

We also automatically collect limited usage information when you visit our site, including pages viewed and referring URL. This is collected through our analytics provider (Plausible Analytics), which does not use cookies or collect personally identifying information.


How we use your information

We use the information you provide for the following purposes:

  • To deliver the resources you requested (roadmaps, guides, calculators, scheduled calls)
  • To respond to your inquiries and follow up by phone, SMS, or email when you have given consent
  • To assess whether our services are a fit for your business
  • To improve our website, services, and communications
  • To comply with legal obligations and enforce our terms
  • To maintain records of your consent for the duration legally required

Phone, SMS, and AI-generated communications

This section explains what you agree to when you provide your phone number and click submit on any of our forms.

What you consent to

When you submit a form that includes your phone number, you provide your prior express written consent for Workflow Autopilot to contact you by phone and text message at the number provided. This includes:

  • Live phone calls and text messages from a member of our team
  • Calls and text messages sent using automated dialing technology, autodialers, or automated systems
  • Calls that include prerecorded messages or artificial voices
  • Calls and text messages that use AI-generated voices, AI-generated text, or other AI technologies that simulate human communication. The Federal Communications Commission ruled in February 2024 that AI-generated voices are "artificial" under the Telephone Consumer Protection Act, and we will obtain consent and provide disclosure as required.

Communications may be promotional or transactional in nature, including responses to your specific requests, follow-ups about resources you requested, scheduled audit reminders, and information about our services.

Message frequency and rates

Message frequency varies based on your interaction with us. Most prospects receive between 1 and 10 messages over the course of our follow-up. Standard message and data rates from your carrier may apply. We do not charge you to receive messages, but your wireless carrier's rates apply.

Carrier disclaimer

Workflow Autopilot's text-message program is supported by all major U.S. carriers. Carriers are not liable for delayed or undelivered messages. If you experience issues, please contact your wireless carrier.

How to opt out

You can revoke your consent at any time using any of the methods below. We will honor opt-out requests promptly and within the time required by law.

  • Reply STOP to any text message we send you. You will receive one confirmation message acknowledging the opt-out, then no further texts.
  • Reply UNSUBSCRIBE or CANCEL to any text message.
  • Email us at [email protected] requesting that we stop calling and texting.
  • Tell us during a call that you would like to be removed from our list.

Once you opt out, we will retain your phone number on a suppression list to ensure we do not contact you again. This list is maintained indefinitely.

Email communications

When you give us your email address, we may send you the resources you requested, follow-up emails about our services, and occasional updates relevant to your business.

Every commercial email we send includes:

  • Our identity and a way to reach us
  • Our valid physical mailing address
  • A working unsubscribe link

You can unsubscribe at any time by clicking the unsubscribe link in any email or by replying directly to the email asking to be removed. We honor unsubscribe requests within ten business days as required by the CAN-SPAM Act.


How we share information

We do not sell, rent, or trade your personal information. We share information only in the following circumstances:

  • Service providers. We share information with third parties that help us operate, including our scheduling platform (Cal.com), our automation and CRM platform (n8n), our transactional email provider, and our SMS delivery provider. These vendors are contractually bound to use your information only for the services they provide to us.
  • Legal compliance. We may disclose information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of Workflow Autopilot, our users, or others.
  • Business transfers. If Workflow Autopilot is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you and update this policy.
  • With your consent. We may share information for any other purpose with your explicit consent.

How long we keep your information

We retain your information for as long as necessary to provide our services, comply with our legal obligations, resolve disputes, and enforce our agreements. Specifically:

  • Active leads and clients. We retain contact and communication information for the duration of our relationship and a reasonable period after.
  • Consent records. Records of when and how you consented to be contacted are retained for at least four years to satisfy TCPA and CAN-SPAM record-retention requirements.
  • Suppression lists. If you opt out, we retain your phone number, email address, or both on a suppression list indefinitely to ensure we honor your opt-out.

Your rights and choices

You have the following rights regarding your personal information. To exercise any of them, email [email protected] with your request.

  • Access. Request a copy of the personal information we hold about you.
  • Correction. Request that we correct inaccurate or incomplete information.
  • Deletion. Request that we delete your personal information, subject to our legal record-retention requirements (for example, we will keep suppression-list entries indefinitely).
  • Opt out of marketing. Reply STOP to any text, click unsubscribe in any email, or email us directly.
  • Portability. Request a copy of your data in a portable format.

If you are a California resident, you may have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA). Email us to exercise those rights.


Security

We use reasonable administrative, technical, and physical safeguards to protect your information. No method of internet transmission or electronic storage is completely secure, however, and we cannot guarantee absolute security.


Children's privacy

Our services are intended for business use and are not directed at individuals under 18 years of age. We do not knowingly collect personal information from children. If you believe we have collected information from a child, contact us at [email protected] and we will delete it.


Third-party links

Our site and emails may contain links to third-party websites. We are not responsible for the privacy practices of those sites. Review their privacy policies before providing any information.


Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we do, we will update the "Last updated" date at the top. Material changes will be communicated through the site or by email if appropriate. Continued use of our services after changes are posted constitutes acceptance of the updated policy.
